Customer Accounts

Customer accounts let trusted customers purchase now and pay later.

Understanding Accounts

When a customer has an account:

  • They can buy on credit (pay later)

  • Purchases are added to their balance

  • They receive statements showing what they owe

  • Payments reduce their balance

Account Information

Each customer account shows:

| Field | Description | |-------|-------------| | Current Balance | Total amount owed | | Credit Limit | Maximum they can owe | | Available Credit | Credit limit minus balance | | Overdue Amount | Unpaid invoices past due | | Payment Terms | Days until payment due |

Viewing Account Details

  1. Go to Customers

  2. Click on the customer

  3. Click the Account tab

You'll see:

  • Current balance and credit status

  • Recent transactions

  • Aging summary (current, 30 days, 60 days, 90+ days)

Account Transactions

The transaction list shows:

| Type | Description | |------|-------------| | Sale | Purchase added to account | | Payment | Payment received | | Credit | Credit applied (refund, adjustment) | | Debit | Charge added (fee, adjustment) |

Account Status

| Status | Meaning | |--------|---------| | Active | Normal operation | | Hold | Cannot make account purchases | | Suspended | Account frozen | | Closed | No longer in use |

Accounts on Hold

When an account is on hold:

  • POS shows a warning when selected

  • Account sales are blocked

  • Customer must pay or contact manager

Aging Buckets

Balances are grouped by age:

| Bucket | Age | |--------|-----| | Current | Not yet due | | 30 Days | 1-30 days overdue | | 60 Days | 31-60 days overdue | | 90+ Days | Over 60 days overdue |

This helps prioritise collection efforts.

Managing Credit

Adjusting Credit Limits

Managers can adjust credit limits:

  1. Open customer details

  2. Go to Account tab

  3. Click Edit

  4. Change the credit limit

  5. Save

Placing Accounts on Hold

If a customer isn't paying:

  1. Open customer details

  2. Go to Account tab

  3. Click Place on Hold

  4. Add a note explaining why

Tips

Regularly check the overdue report to follow up with customers who haven't paid.

Set credit limits based on the customer's payment history and order frequency.
