Users & Roles

Control who can access your system and what they can do.

User Accounts

Creating a User

  1. Go to the Admin (cog button, top left) > Admin Panel

  2. In the Admin Panel under User Management > select Users > New User

  3. Enter user details: Name, Email, Password, Password Confirmation

  4. Select Role and Permissions for the User

  5. Click Create > the user is now added.

User Information

Administrators can view basic user information.

  • Select from the list - click View or Edit

  • Or, use the Search function to find a specific user

  • User profile information:

    • Name, Email, Roles and Permissions
      (password remains hidden)

Editing Users

  • Find the user

  • Click Edit

  • Change details

  • Click Save changes

Roles

Roles define what users can do and access in AERIS.

Default Roles

  • Super Admin - full account access and control

  • Admin - modify and add users, full access

  • Cashier

  • Manager

  • Sales Staff

  • Warehouse Staff

Access definitions

  • Access POS - Use point of sale

  • View Reports - See reports

  • Process Refunds - Issue refunds

  • Void Sales - Cancel transactions

  • Manage Stock - Adjust inventory

  • Access Admin - Enter admin panel

Creating Custom Roles

  1. In the Admin Dashboard > Go to User Management > Roles

  2. Click New Role

  3. Name the role

  4. Select permissions

  5. Save

Password Management

Reset Password

Admin can reset any user's password:

  1. Edit the user

  2. Click Reset Password

  3. Enter new password

  4. User must change on next login

User Changes Own Password

  1. Click profile menu > Profile Settings

  2. Select Change Password

  3. Enter current and new password

Tips

Give users only the permissions they need.

Do not delete user accounts, deactivate to ensure historical records are retained.

Every user should have their own account for accountability.

Review user access regularly and remove unused accounts.

Limit admin access to those who truly need it.
